Information we collect
When you book an online consultation or contact us, we may collect: your name, email address, phone/WhatsApp number, age, sex, your chosen consultation type (Google Meet or WhatsApp video), and the date and time of your appointment. We also collect any health-related details you choose to share with us before or during your consultation. We do not knowingly collect information from children without a parent or guardian's involvement.
How we use your information
We use your information to: schedule and manage your appointment; send you appointment confirmations, reminders and updates by email and WhatsApp; conduct your consultation and provide care; contact you about your booking; and keep basic records of bookings. We use your health information only to provide you with care.
Booking, messaging and third-party services
Our online booking runs on Google Calendar Appointment Scheduling, and bookings may be logged to a private Google Sheet that only the clinic can access. Appointment confirmations are sent by email through Google and by WhatsApp through the Meta (WhatsApp) Business Platform / Cloud API. These providers process your data on our behalf under their own privacy terms:
Google — policies.google.com/privacy; Meta/WhatsApp — whatsapp.com/legal/privacy-policy. In-clinic visits are arranged by phone or walk-in and are not booked through these online tools.
WhatsApp messages and opt-out
If you provide a phone number when booking, you consent to receive appointment-related WhatsApp messages from us. These are service messages only — we do not send marketing or promotional messages. You can opt out at any time by replying STOP to a WhatsApp message or by contacting us on the details above.
Cookies and website analytics
Our own pages do not set marketing cookies. Some embedded content (such as the Google Calendar booking window and the Google Maps location) may set cookies or collect usage data governed by Google's privacy policy.
How we store and protect your information
Your booking data is stored within Google's services and, where confirmations are sent, processed by Meta's WhatsApp platform. We limit access to authorised clinic staff and take reasonable measures to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
How long we keep your information
We keep booking and consultation records only as long as needed to provide care, meet our legal and medical record-keeping obligations, and resolve any disputes. You may ask us to delete information that we are not required to retain.
Your rights
You may ask to access, correct, or delete your personal information, or withdraw your consent to messaging, by contacting us using the details above. We will respond within a reasonable time. Please note some records may need to be retained where required by law.
Sharing of information
We do not sell your personal information. We share it only with the service providers named above who help us operate bookings and messaging, and where required by law or to protect the safety of a person.
Changes to this policy
We may update this policy from time to time. The "Last updated" date above shows when it was last revised. Significant changes will be posted on this page.
